The lifecycle

Four stages, no shortcuts

Every meeting follows the same path from draft to completed. A meeting cannot be released without an agenda item, a date, and a participant - the platform will not let a step be skipped.

    A Chair or Secretary drafts the agenda, item by item, with case files attached.

  2. 02Released

    Published to the board. Members are notified; access follows board membership.

  3. 03Ongoing

    The meeting runs live: votes open, close, and are tallied into decisions.

  4. 04Completed

    The Secretary finalizes the minutes; the record becomes a generated PDF.

01 · Convene

The agenda, in the right hands

Meetings belong to boards, and board members see the meetings of their boards - no one else's. The Financial Board's business stays on the Financial Board.

ChairandSecretaryare badges on a board member, not separate accounts. Only they create meetings and set the agenda.

Release a meeting and every participant knows - by email and in their in-app inbox. Mentions, task assignments, and document updates arrive the same way.

02 · Deliberate

Documents that keep their history

Every file lives with its meeting, and every update creates a new version. Earlier versions stay available, alongside the comments made on them - nothing overwritten, nothing lost.

Board members read, comment inline, and @mention a colleague to pull them in. Private notes stay private to their author; shared comments belong to the board.

Mark a file Confidential or Highly Sensitive and it becomes view-only: readable in the app, watermarked with the reader's identity, and never downloadable - not even by an administrator.

2. Findings

The assessment identifies staffing pressure in two units. The committee is asked to treat the individual casework in this section as strictly confidential until the board has resolved item 4.

03 · Decide

Votes counted, conflicts declared

When an item is ready, the Chair opens the vote: For, Against, or Abstain. Votes open one at a time, so the board decides each item in turn - and a closed vote never reopens.

A member with a stake in the outcome declares a conflict of interest. The declaration is irrevocable, removes any vote already cast, and is itself recorded. The result lands in the minutes automatically.

04 · On record

Minutes that become the record

The Secretary drafts the minutes with every decision and tally already in place. The Chair can send them back for changes; only the Secretary finalizes. Finalizing freezes each vote as it was cast - a later re-vote can never rewrite the record.

The record becomes a generated PDF, with confidential items withheld as closed session. Decisions become assigned tasks with owners and due dates, tied to the agenda item they came from.

Confidentiality
Four levels - Standard, Public, Confidential, Highly Sensitive. Every view of Highly Sensitive content is itself recorded.
View-only
Confidential and Highly Sensitive documents cannot be downloaded by anyone - chairs, secretaries, and administrators included. They are read inside MeetFlow, and every on-screen copy is watermarked with the reader's identity.
Audit
Every create, edit, delete, and access recorded: who, what, when. Identical on every plan, including Free - and exportable to CSV or JSON on demand.
Isolation
Platform operators see usage metadata, never meeting content, votes, or documents.
Access
Board-based access control. Membership decides visibility at meeting, document, and agenda level.
Authentication
Multi-factor authentication with single-use recovery codes, for every account. Five failed sign-ins lock the account for fifteen minutes.
Sessions
Signed-in sessions end after eight hours of inactivity and never last more than a day. A password change or MFA reset signs out every other device within minutes.
Hosting
Hosted in the EU (Frankfurt). Your organization retains full ownership of its data.
